Everyone who reaches you, in one place
Contacts, consent, and the shared inbox — your simple built-in CRM.
Overview
Customers is your simple CRM — one list of everyone connected to your site. Whenever someone books an appointment, subscribes to your newsletter, places an order, or sends a message through one of your site's forms, they're saved there automatically, so your contact list builds itself as you do business.
From Customers you can add people by hand, bring in a list you already have, look anyone up by name or email, and export everyone whenever you like.
To find it, open Customers under People in the side navigation. Every contact has their own page with their name, email, phone, address, and whether they've opted in to marketing email.
Add and import contacts
Start from the people you already know, then let new ones flow in on their own.
- In the side navigation, under People, open Customers.
- Click New person, fill in their details, and click Save. An email address is the only thing it needs.
- Have a list already? Click Import CSV and upload a file with a header row. It reads First name, Last name, Email, and a yes-or-no Marketing opt-in column; other columns are ignored, and rows without a valid email are skipped.
- Need a backup or want to work elsewhere? Click Export CSV to download your contacts as a CSV.
Imports match people by email, so anyone already on your list is updated rather than added twice. New bookings, subscribers, orders, and form messages add their own contacts — importing is only for lists you're bringing over.
Look up and update a contact
Click anyone in the list to open their page — name, email, phone, a full address, and whether they've opted in to marketing email. Change what you need and click Save. On the Store plan, any products they've saved to a wishlist show there too.
Back on the list, the filters along the top find people by first name, last name, or email, and each row shows at a glance what that person is to you, such as a customer who has ordered, a subscriber who has opted in, or someone on your own team.
Your shared inbox
Messages sent through your site's contact and quote forms land in your Inbox, where you and your team can read and reply together, and everyone who handles the Inbox gets an email with every answer on it the moment one arrives (each person can turn that off in their own Settings, under Notifications). Because each message is tied to the person who sent it, the conversation and the contact stay connected — choose Details on a conversation to see who they are and what they've ordered or booked, and to keep private notes only your team sees.
Once your site has its own email address, mail sent to that address arrives in the Inbox too, and your replies go out from it. Until then, a customer who replies to one of your order or booking emails still reaches you — at your business email, or in your Inbox — never Tropic Arts.
Replying needs your site's email address set up and verified. Until then, messages still arrive, but a reply can only be saved as a draft — the Domains & email guide walks you through it.
Consent and unsubscribes
Marketing consent is handled for you. Campaigns only go to people who have opted in, and nobody is opted in just for booking or buying from you — joining your newsletter does it, and so does checking the mailing opt-in on one of your forms. Either way, they get an email asking them to confirm, and they're opted in once they do. You can see and change it on any contact's page, and every opt-in and opt-out is logged with when and how it happened — that log is part of the file you get when you export someone's data from Privacy.
Every campaign carries an unsubscribe link, and opting out is honored automatically. Privacy's Consent & marketing tab counts your contacts, how many have opted in, and how many addresses are suppressed because mail to them bounced or was reported as spam.
Frequently asked questions
Anyone who books, subscribes, orders, or sends a message through one of your site's forms is added to Customers automatically. You can also add people by hand or import a CSV.
Yes — click Export CSV on the Customers page to download everyone as a CSV whenever you like. Your data is always yours.
They're automatic. When someone unsubscribes, their marketing opt-in is switched off and they won't receive future campaigns — but they stay in Customers, with their orders and history. Separately, if mail to someone bounces or they report it as spam, their address goes on your suppression list, which Privacy keeps count of.
Yes, once your site's owner turns on reply drafts for messages: in your site's Settings, under Access & legal, open AI features. Your privacy policy has to say that replies may be drafted with AI first, and that page can add the section for you. Then Draft a reply, above the reply box, puts a draft of your reply in the box to edit, with a highlighted blank wherever it needs a fact your site doesn't give, like a price, and Send stays off until you fill each one in. The assistant beside your Inbox works on the conversation you have open: it writes the reply, makes it friendlier, shorter or more formal, adds what you tell it, or tells you what the customer is asking. Nothing reaches your customer until you send it. They send Anthropic, our AI provider, the conversation's last few messages, your business's details and any note you add, and the assistant also sends your chat with it and the reply you're writing, with the customer's name and the email addresses, phone numbers and web addresses it recognizes taken out. A conversation that mentions someone's health, religion or another sensitive subject isn't sent at all. That check reads English and Spanish only and may miss things, so read every draft before you send it. Each draft uses some of your AI credits. Reply drafts aren't offered to health care practices for people, religious organizations, law firms, schools or childcare providers, or tutoring services.
Yes, once your site's owner turns it on: in your site's Settings, under Access & legal, open AI features, turn on reply drafts for messages, then Sort new mail and draft replies as it arrives. It needs version 1.10 of our Data Processing Agreement accepted for the site, and your privacy policy has to carry a section saying emails may be sorted and drafted with AI, which that page can add for you. Then each customer email is read about a minute after it arrives: urgent mail comes first in your Inbox, with a red chip saying why, marketing and notifications are labeled, and a draft reply is waiting when you open the conversation. Nothing reaches your customer until you send it. Each email goes to Anthropic, our AI provider, with the earlier messages in its conversation and your business's details, screened first: mailing lists, automated mail and spam are never sent, and an email that mentions someone's health or another sensitive subject isn't sent at all. The label and draft stay with the email, and the draft is deleted once anyone replies or after 30 days. Each email uses some of your AI credits, at most 25 emails a day; after that, new mail waits for Draft a reply. When an email asks about an order, a booking or a time to book, the draft can also use that customer's own order or booking, found by the address the email came from and only when that address is verified, and which booking times are open: never payment details, delivery addresses or anyone else's records.
